How to prepare your event check-in team

An entrance checklist covering tickets, staff access, devices and attendance review.

Agree on the admission rules

Define which tickets and registrations are accepted at each entrance. Give the team a clear escalation path for a guest with a missing ticket, the wrong event or an unresolved order. Software works best when staff share the same admission policy.

Prepare staff and equipment

Confirm staff permissions, devices, power and connectivity at the actual venue. Test the configured validation workflow using sample tickets for the correct event. Do not assume offline operation or compatibility with a particular scanner without confirming it for the deployment.

Rehearse the guest journey

Walk through the entrance as a guest and as a staff member. Check that ticket information is readable on a phone and that the team can locate the relevant record. Keep an agreed process for questions that require a supervisor instead of making decisions at a crowded entrance.

Review attendance separately from sales

After the event, use the check-in report to review recorded arrivals. Ticket sales describe purchases; check-ins describe admission activity. Select the same event and appropriate filters when reviewing both, and record operational observations alongside the numbers.
